What You’ll Do:
- Serve as the first point of contact for the office, welcoming visitors and directing them to the appropriate team members.
- Answer and route incoming business calls using a multiline phone system, take accurate messages and respond to general inquiries.
- Provide timely, professional assistance to customers, vendors and other external partners.
- Receive, sort and distribute incoming mail, packages and invoices while coordinating outgoing shipments and correspondence.
- Maintain office supplies, inventory and shared spaces to ensure an organized and professional working environment.
- Schedule meetings and provide administrative support to executives and business leaders as requested.
- Assist with company events, special projects and other general office needs.
- Send master bills of lading, loading confirmations and revised confirmations to carriers and other appropriate parties.
- Sort, rename, scan and upload customs brokerage and shipping documents into the AS/400 system.
- Organize incoming invoices and route them to the appropriate team members based on file number.
- Coordinate the delivery of checks to the lockbox and original house bills of lading to the JFK branch, as applicable.
- Perform additional clerical, administrative and logistics-support responsibilities as assigned.

- Professional, courteous and comfortable interacting with customers, visitors, vendors and employees by phone and in person.
- Strong verbal and written communication skills, including the ability to listen carefully, ask appropriate questions and provide clear information.
- Dependable and accountable, with the ability to follow instructions, meet deadlines and communicate proactively when priorities change.
- Highly organized and detail-oriented, with a commitment to accuracy and quality.
- Ability to manage multiple responsibilities in a fast-paced office environment.
- Strong customer-service mindset and willingness to support multiple teams.
- Proficiency with Microsoft Word, Excel and other common office technology.
- Ability to handle business documents and information with professionalism and discretion.
- Interest in developing a career in freight forwarding, logistics or supply chain management.
- Previous administrative, customer-service or office experience is preferred but not required.
